Certifying Your MCLE Attendance

The Regulatory Compliance Department maintains a history of Virginia attorneys' MCLE records. Review the information below for guidance reporting credit to your record. Visit the Annual MCLE Compliance Information page for specific information about reporting attendance after October 31.

Sponsors are required to distribute Virginia certifications of attendance (Form 2) and teaching (Form 3) to attendees for approved courses. Note: The Form 3 will not be distributed if the course is not approved for teaching credit. These forms will include all course information including the approved hours and the Virginia course ID number assigned to that program. Attendance should be self-reported online on your member profile when logged in. Teaching certificates can be mailed or emailed to [email protected] for processing.

Virginia is a self-reporting state. Attendance lists submitted by sponsors are not accepted nor do sponsors submit certificates of attendance directly to our office. Attorneys are encouraged to report their hours promptly and no later than 4:45 p.m. ET December 15 each year.

Certification How-Tos

Online Certification

If you have a certification of attendance which includes a Virginia course ID number, report your attendance online in your member portal, which can be accessed from the top right corner of any VSB webpage. Keep a copy of all forms for two years. You do not need to submit a duplicate copy to the MCLE Department.

You may not be able to report the following online:

  • Certification forms provided by sponsors that do not include Virginia specific approval information or course ID number.
  • Some ABA Programs – Mark the sessions you attended on the ABA session summary (page two of the certification of attendance) and submit to the MCLE office for processing.
  • Certifications of Attendance for in-house Video/DVD or Audio/CD programs.
  • Certifications of Teaching.
  • Courses with limited partial approval or which require a special form.

NOTE: Credit should not be claimed for any program or session that did not have written instructional materials or for those which did not cover legal topics (ex: marketing, personal/professional development issues, law firm business, etc.) All distance learning programs require a certification of attendance provided by the course sponsor that includes the Virginia course ID number.

EMAIL Certifications

Certificates of teaching or attendance which cannot be self-reported may be emailed to [email protected] for posting. If you do not receive a response to your email within 10 business days, contact our office to confirm your message was received. Please note that if you are submitting hours for a status change, we request that you submit your certificates directly to the Membership Department with your status change request.

FAX Certification

Fax certificates to (804) 775-0544 which is the MCLE designated fax line. Only complete and legible forms are accepted; your fax confirmation does not ensure our receipt of an acceptable form. Check your record online to confirm receipt and posting of your submission. It is always advised that you certify your attendance online when possible.

Course Sponsors' Certifications

If a course sponsor collects your completed/signed certification of attendance and forwards it to the MCLE Department, be sure to keep a copy of the certificate and check your record to confirm the course has been posted. We do not accept attendance lists from the sponsor as certification. Providers of online programs do not report attendance to this office. You must certify your attendance indicating the number of hours attended.

What action do I take if I do not have a certification of attendance?

If you do not receive a Virginia Certification of Attendance, please check with the sponsor to confirm Virginia MCLE approval and get a certification of attendance that includes the Virginia course ID number. If the sponsor cannot supply this information, consider the course not approved. If the sponsor is not seeking credit in Virginia on behalf of attorneys, you may apply for credit individually by completing the Application for Course Approval, Form 4 (PDF file).

How do I report a distance learning program?

First make sure that the course you have selected has been approved in Virginia. We are not responsible for the content on course sponsors’ websites. If you choose a course for ethics credit, be sure to check for Virginia ethics approval. See Opinion 16 for the approval standards for distance learning programs.

Virginia approved distance learning courses (pre-recorded online, live teleconference, live webcast, CD-rom, etc.) may only be credited with the sponsor-provided certification of attendance. This certificate is required because it verifies your completion of the program and provides the Virginia course approval ID number. The form also requires that you certify your attendance. Please be sure to follow the procedures required by the sponsor in order to claim your certificate and be advised that not all sponsors are able to provide your certificate upon completion of the program (ALI-ABA and PLI for example).

CAUTION: You must follow the procedures required by the sponsor in order to receive credit. Some sponsors (ABA, ALI-ABA and PLI for example) may not provide the certification of attendance as soon as the program concludes. Others require you to request your certificate immediately upon completion of the program in order for the certificate to reflect the correct attendance date.

I received multiple certificates for different programs, but they all include the same course ID number. How do I report these hours?

You’ve likely completed multiple individual segments from a larger seminar. Total the hours completed and report them under one entry using the most recent date of attendance. If you completed all programs on one day, use that date.

I need to edit hours I reported. How can I do this?

Email [email protected] to request the course be removed from your record. Once removed, you should be able to report the correct information. We must have the attorney’s permission to edit a record, so we cannot honor requests which are not submitted by the attorney.
